** No ticket necessary, there will be a register of names at the meeting point!

Note that all sports will be held in parallel on Saturday and therefore you can only register for one sport.

The registration is valid only after we have received the tournament fee and confirmed your participation by e-mail.

The general registration deadline is the Friday two weeks before the tournament weekend, but can be extended for individual sports. Registrations will be handled on a first come, first served basis (exceptions involving a random draw in some sports are possible – please check the competition announcements in your discipline). This means that once the maximum number of participants (which varies for each sport) is reached, the respective registration may be closed earlier. Waiting lists will then be drawn up. No request for payment is issued to those on the waiting list. You can see what you already ordered and the costs in your personal order account – this is not a confirmation! Only when the participant is transferred to the active list a request for payment will be sent.

Random draws: For some sports, pre-registration is possible. If more participants or teams are registered there until the general registration start, the slots will be drawn and the participants or teams will be informed about the result of the draw.

Once registration is complete, please send any requests for changes or cancellations by e-mail to: registration@fvv-xmas.org. Also, changes and cancellations only become valid upon being confirmed by e-mail.

In case of cancellation, the participation fees will be refunded as follows (also applies to registered dance or doubles partners and teams if no suitable substitute can be found):

– Refund for cancellation by October 31: 100%.
– Refund for cancellations between November 1 and the “general registration deadline”: 50%.
– Refund for cancellation after the “general registration deadline”: 0%.
– Refund in the event of illness upon submission of a medical certificate confirming that the participant is unable to take part in sports, provided that the certificate is received by the Thursday before the tournament: 100%.

If a participant does not attend the tournament, they shall not be entitled to a refund of the entry fee or reimbursement of any other expenses.

If the event cannot take place, or can take place only in part, due to force majeure or other circumstances beyond the organiser’s control, any refund of the entry fee and any further claims shall be governed by the applicable statutory provisions. Participants shall not be entitled to reimbursement of personal expenses, in particular travel, accommodation or catering costs, unless the organiser is responsible for the cancellation. Participants are therefore advised to book refundable or flexible travel and accommodation options.

If a welcome bag is provided as part of the tournament, it shall constitute a voluntary additional service offered by the organiser. Participants shall have no entitlement to receive a welcome bag. Welcome bags will be available exclusively at the check-in on Friday evening and only while stocks last.

The event shall be conducted in accordance with the statutory and official regulations applicable at the time of the event. The organiser may also impose reasonable participation, safety and organisational rules. Current developments, official requirements or organisational circumstances may make it necessary to change the event schedule or tournament formats at short notice. Participants must comply with the general rules and with the instructions issued by the tournament management, event officials and security staff.

By registering, participants confirm that they have read and accepted the announcement, regulations and rules applicable to their chosen sport. They also confirm that they are physically fit and in a suitable state of health to participate in the relevant competition. Participants who have any doubts about their health or fitness are advised to seek medical advice before taking part.

Participation in the tournament is voluntary. Participants take part at their own risk with regard to the hazards typically associated with the relevant sport. The organiser shall not be liable for sports-related injuries, illnesses or other losses or damage unless these are caused by an intentional or negligent breach of duty by the organiser, its legal representatives or persons acting on its behalf.

The organiser shall not be liable for the loss, theft or damage of personal belongings unless this is caused by intentional or negligent conduct on the part of the organiser, its legal representatives or persons acting on its behalf. Participants are responsible for keeping their personal belongings safe.

Participants are responsible for ensuring that they have adequate health, accident, travel and personal liability insurance. This applies in particular to risks arising from illness, injury, travel cancellation or interruption. Participants from outside Germany must ensure that their health insurance provides adequate cover for medical treatment in Germany.

The organiser’s statutory liability remains unaffected. This applies in particular to culpably caused loss or damage resulting from injury to life, body or health, as well as to loss or damage caused intentionally or through gross negligence.

In the event of any discrepancy or inconsistency between the German and English versions of these Terms and Conditions, the German version shall prevail.

Full Privacy Policy here (only available in German). If you have any questions, our data protection officer is at your disposal: datenschutz@fvv.org

The personal data received during the registration process will be used to run the XMAS tournament. This involves drawing up and publishing tournament schedules (using first and last name, country, club, discipline and level as well as results), including on online-based, publicly accessible tournament systems (tournamentsoftware.com, my.raceresult.com and similar). Data will only be passed to other third parties where necessary for the running of the event. Data not directly related to the competitions will be deleted after six months, unless individual processes have not yet been completed or higher-ranking deadlines, which we are obligated to respect, prevent this.

Film/Photo: The event is open to the general public. It is not only a sporting competition, but also serves to promote personal contact between the participants. In accordance with the duty to inform pursuant to Art. 14 GDPR, we would like to point out that photographs and video recordings will be made during this event. We will use these for reporting and public relations purposes. For this purpose, the recordings may be published by the organizer in all media (online/offline, analog/digital) and without any claim to remuneration by the participant. The legal basis for the processing of the photo and video data of the participants is Art. 6 para.1 (f) GDPR, as there is a legitimate interest in informing the public about the activities of the FVV and documenting our association activities. If photos are provided to the organizer for publication, it is agreed that this is done free of charge and for an unlimited period of time, the naming of the photographer is not necessary, the photos may be edited and the consent is not limited to certain media, channels or purposes.

The participant confirms the correctness of all data which he/she submits and undertakes not to pass on the right to participate to any other person.

In order not to miss future events of the FVV, it is possible for participants to request during the online registration that their e-mail address be stored and used for this purpose. This consent can be revoked informally at any time.
